Invitations and access

Choose who can open a published board, invite viewers by email, and accept, decline or revoke access.

Every published board has an access setting: open to any signed-in person with the link, or only to people you invite.

Choose who can open it

Open the publish window's Access tab (in Board Archives, click Reupload remote board, then Access). For a remote board that isn't in this browser, use Manage Remote Board access under Remote boards not in this browser. Before the first publish you can already pick Invite only, so the board is never open to link holders. You can invite viewers once the board is live.

  • Authenticated link: any signed-in person with the link can view.
  • Invite only: only invited viewers (and you) can view.

The change saves straight away. Click Copy under Share link to copy the link. If switching to Invite only shows Retry cleanup, click it.

Invite a viewer

Switch to Invite only

Select Invite only on the Access tab.

Send the invitation

Under Viewers, type the person's email and click Invite.

Watch the slots

The header shows how many of the 5 viewer slots are used. When all 5 are used, revoke a viewer or cancel an invitation to free one.

NoteUp to 5 viewers

Every board can have 5 invited viewers, on every plan. Invitations expire after 7 days.

The invitation email only reaches people who already have a FlashBoards account, and FlashBoards won't tell you whether an address has one. If the person isn't signed up yet, ask them to sign up with that exact email, then click Resend. A pending invitation still uses a slot.

Pending invitations show Pending with an expiry date, and buttons to resend or cancel.

Accept an invitation

The invited person signs in with the invited email and either:

  • Opens the email link. On the Remote Board invitation page, they click Accept invitation (or Not now) and the board opens. If signed out, they click Log in to continue or Create account first.
  • Uses Shared with me. In the Boards dropdown, click the share icon. Under Invitations waiting, click Accept or Decline. Accepted boards appear under Boards you can open.

If the invitation expired, was cancelled or was sent to another email, the page says it isn't available. Ask the owner to send it again.

Revoke access

On the Access tab, accepted viewers show Accepted · view only. Click revoke next to the viewer and confirm. Access stops immediately, the slot is freed, and the person sees the board as unavailable.

For agents

A connected agent can propose access changes with update_board_access. Review its preview first. Inviting people or widening access also waits for you to click Approve in your open FlashBoards tab. Removing access can complete after the confirmed preview without an open tab. See Share and publish.
