Publish a board
Share a board as a read-only link, follow publishing progress, replace, unpublish or delete it, and understand the limits.
Publishing turns a board into a read-only Remote Board with its own share link. It never gives edit access, and it isn't a backup. For a file you keep, see Import and export.
NoteSubscriber feature
Publishing needs an active subscription; without one the publish icon is hidden. Empty boards can't be published. See Plans and balance.
Publish a board
Open Board Archives
Open the Boards dropdown (bottom-left), click the archive icon, and click Publish as remote board on the board's row.
Fill in Setup
In Publish as Remote Board, on the Setup tab:
- Display name: required, 2 to 80 characters. Starts as the board name.
- Description: required, 10 to 280 characters.
- Original media optimization: on to optimize original files, off to keep them as they are.
- Preview image: optional JPEG, PNG, WebP or GIF up to 5 MB, shown in link previews.
A dot on the tab means something still needs fixing.
Check access
New Remote Boards default to Authenticated link: anyone signed in with the link can view. The Access summary at the bottom of Setup shows the choice, and Open Access jumps to the Access tab, where you can pick Invite only before you publish. The board then goes live invite only. You can invite viewers after the first publish finishes. See Invitations and access.
Publish
Click Publish and watch the Status tab. Closing the window cancels an upload that is still running.
Follow progress
The Status tab steps through Prepare, Upload, Queue, Optimize, Publish and Ready. It can take 10 to 20 minutes, longer for boards with lots of video. When it's ready, use Copy share link or Open share page in this tab. If publishing fails, click Retry publish.
Fix what blocks a publish
Media notes on the Setup tab list what stops a publish:
- No media on the board, or items with unsupported links.
- Items copied from a shared board. Re-add the originals.
Items without media are skipped, and external links stay as links. These only warn.
After you click Publish, FlashBoards also checks for:
- Files that can't be read or are empty.
- Boards that are too big: up to 1,200 media items, 4 GB in total and 1 GB per file.
- Not enough storage on your plan.
If Publish fails with a generic message, check the board against these limits.
Item names (media, notes, drawings, shapes and arrows) publish with the board and show on the Remote Board. If a name contains a private link, it's left out of the published copy; your own board keeps it. If Publish stops with "Some board content could not be read safely…", update FlashBoards or restore the original board. Your original board is unchanged.
Storage quota
Published boards count against your plan's remote storage: 2 GB on Starter, 10 GB on Creator, 25 GB on Pro and 50 GB on Enterprise. See your usage in Settings → Storage. If you're over, the publish tells you how much space you need.
Deleting a Remote Board frees its space. Unpublishing only turns off the link, so its media still counts.
Replace, unpublish or delete
All of these are on the board's row in Board Archives.
Replace
Click Reupload remote board, change fields or the preview image, then click Replace published board and Confirm replace published board. The link stays the same, and the current version stays online until the new one is ready.
Unpublish
Click Unpublish remote board. There is no confirmation. The link stops working for everyone, including invited viewers, who see Shared board not found. Your private board is kept.
Republish
Click Reupload remote board, then Republish board, then Confirm republish. The board stays private until it finishes.
Delete permanently
Click Queue Remote Board deletion and confirm. The status shows deleting until it's done. Your local board is untouched.
For agents
A connected agent can publish, replace or unpublish a board with publish_board and unpublish_board, and change who can open it with update_board_access. Publishing always waits for you to click Approve on a card in your open FlashBoards tab, and an agent publishes invite only unless it asks for link access. Approval starts the publishing process; check its final status to confirm the board is ready. See Share and publish.
